What Belongs in Your 3D Rendering Brief

The quality of a 3D rendering is decided long before anyone opens the software. It is decided in the brief, and specifically in whether the brief answered questions the studio would otherwise have to guess at. A vague brief does not produce a vague render; it produces a confident render of the wrong thing, discovered at review, corrected across several rounds, and paid for in revision cycles nobody budgeted. This article looks at what belongs in your 3D rendering brief, and why each element earns its place.

Start With the Job the Image Has to Do

The most useful line in any rendering brief states what the image must achieve, and it is the line most often missing.

An image for a tender submission has to demonstrate technical competence. An image for a sales gallery has to create desire. An image for a planning application has to show massing and context honestly. An image for a construction team has to be unambiguous about detail. These are different pictures of the same building.

Write one sentence describing what the viewer should understand or feel. Everything downstream, from camera height to time of day to how much life appears in the scene, follows from that sentence. Without it the studio makes those decisions by default, and default decisions are usually generic.

Supply the Source Data, and Say What Format It Is In

Nothing moves a rendering quotation more than what source material exists, which makes it the first practical item in the brief.

  • 3D model or CAD. The best case. Much of the geometry already exists and modelling time falls sharply. State the software and version.
  • 2D drawings. Workable. Plans, elevations and sections allow accurate reconstruction, though the geometry is built by hand.
  • Sketches or reference images only. Everything is interpretation, which is slower and carries more revision risk.
  • Survey or point cloud data. Valuable for anything that must sit correctly in an existing environment.

Say explicitly which drawings are current. Studios routinely receive a folder containing three revisions of the same plan with no indication which governs, and building from a superseded drawing is a full rework discovered late.

Specify the Views Precisely

“A few exterior views” is not a specification. It is an invitation to produce images you did not want.

For each view, state the camera position in plain language, the approximate height, and what must be visible in frame. Marking camera positions and directions on a site plan is faster than describing them and removes ambiguity entirely.

State the aspect ratio for each view, because a wide image for a hoarding and a portrait image for a brochure page are composed differently at the point of setting the camera, not croppable afterwards without loss.

Note whether any view is a hero image. Studios allocate effort proportionally, and knowing which single image carries the campaign lets the detail go where it matters.

Materials and Finishes, in the Detail You Actually Have

Material specification is where architectural renders most often diverge from the built result, and where clients are most often disappointed without being able to say why.

Supply the finishes schedule if one exists. Where it does not, supply reference images of the intended materials rather than describing them in words. “Warm grey stone” describes hundreds of materials that look nothing alike.

Be explicit about anything that must be exactly right. A developer whose facade is defined by a specific cladding product should supply the manufacturer’s reference rather than leaving the studio to approximate it.

Say what is not yet decided. A studio told that the paving is undecided will choose something neutral and flag it, which is far better than presenting a specific choice that reads as a decision made on the client’s behalf.

Light, Weather and Time of Day

Lighting decisions do more to determine the mood of a render than any other single factor, and they should be a client decision rather than a studio default.

Daylight with clear sky reads as optimistic and shows form and material honestly. Overcast light is flatter, more neutral, and often more appropriate for technical or planning submissions. Dusk, with interior lights on against a deepening sky, is the most flattering and the most used in property marketing, to the point where it has become a cliche worth deciding on deliberately rather than accepting automatically.

Specify the sun direction if the building’s orientation matters. A render lit from a direction the sun never comes from in that location is the kind of error an architect will notice immediately.

State whether the scene should be dry or wet, since reflective wet paving is a strong stylistic choice rather than a neutral one.

How Much Life Goes in the Scene

People, vehicles, furniture and planting all have to be decided, and briefs frequently leave this open with results the client did not intend.

Density is the first choice. An empty scene reads as clinical and suits technical purposes. A busy scene reads as vibrant and suits marketing. The wrong density for the purpose is a common and avoidable mismatch.

Demographics matter in this market. Populating a Malaysian development with figures who are visibly not Malaysian is a recurring failure in renders produced from generic asset libraries, and it is noticed. State explicitly that the population should reflect the local audience.

Planting maturity is worth specifying. Renders conventionally show landscaping several years mature, which is arguably optimistic. Deciding whether to show planting at handover or at maturity is an honesty decision the client should make rather than inherit.

Context and What Surrounds the Building

How a render handles its surroundings determines whether it reads as truthful or as marketing.

State whether neighbouring buildings should appear, and if so whether accurately or as neutral massing. Omitting an adjacent structure that genuinely exists is the kind of thing buyers discover on a site visit.

Where the surroundings are a selling point, say so, because the camera can be positioned to include them. Where something unattractive is genuinely adjacent, decide deliberately how to handle it rather than leaving the studio to quietly frame it out.

For anything in a distinctive location, supply site photographs. They inform the light, the vegetation, the surrounding built form and the general character in ways drawings cannot.

Deliverables and Technical Specification

Stating this precisely prevents a scramble at the end and prevents paying for resolution you do not need.

Specify output resolution against the largest intended use. Hoardings and large format print need substantially higher resolution than a website, and rendering at high resolution is more expensive in machine time, so overspecifying costs real money.

State the file formats required, and whether layered files are needed for later adjustment. Ask whether elements such as sky, background and foreground can be delivered separately, since that allows minor changes without re rendering.

List every variant needed up front, including cropped versions for different placements. These are cheap when planned into the render and expensive when requested afterwards.

Approval Chain and Revision Rounds

Naming who approves, and when, prevents the most common cause of budget overrun on rendering work.

State how many revision rounds are included, what constitutes a round, and what happens beyond that. Two rounds is standard. Clarify that a round means consolidated feedback from all parties at once, not a stream of individual notes.

Name one person with authority to resolve conflicts. Rendering projects frequently involve the developer, the architect, the marketing agency and sometimes a joint venture partner, and unreconciled feedback from four directions produces paralysis and cost.

Agree what stages will be reviewed. Reviewing a grey untextured massing render first, before materials and lighting, catches camera and composition problems while they are still free to fix.

Commercial Terms Worth Settling in the Brief

Still renderings are typically quoted per image, with exterior and aerial views priced above interiors because of the surrounding context involved. The first image of a subject carries the modelling cost; subsequent views of the same model are considerably cheaper, which is why commissioning in batches is more efficient than one at a time.

Settle whether the 3D model is retained and reusable, and what a later view would cost given the model exists. Settle ownership of source files, which conventionally remain with the studio while deliverables are licensed on payment.

Confirm whether prices are quoted before or after the eight percent SST, and confirm the payment structure, commonly a deposit to commence with the balance on delivery.

A Brief That Fits on Two Pages

  • One sentence on what each image must achieve.
  • Source data listed by type, format and revision, with the current drawings identified.
  • Views specified with marked camera positions, heights, aspect ratios and the hero image flagged.
  • Materials supplied as a schedule or references, with undecided items stated as undecided.
  • Lighting chosen deliberately, with sun direction where orientation matters.
  • Population and planting density and demographics specified.
  • Context treatment agreed, with site photographs supplied.
  • Deliverables listed with resolution, formats, layers and variants.
  • Approval chain named, revision rounds defined, review stages agreed.
  • Commercial terms on model retention, file ownership, tax basis and payment.

What to Review at Each Stage

Rendering projects go smoothly when review happens at the right moments, and expensively when everything is inspected at the end.

At grey massing stage, before any material or lighting work, check camera position, composition, aspect ratio and whether the building sits correctly in its context. Changes here cost minutes. The same changes after final rendering cost days of machine time.

At material and lighting draft, check finishes against the schedule, sun direction, mood and the density of population and planting. This is the stage to resolve whether the image feels right, because after this the work becomes refinement rather than direction.

At near final, check detail: reflections, edges, the accuracy of specific products, signage and anything a specialist will scrutinise. Bring the architect or product engineer in here rather than earlier, since their notes are most useful once the image is close.

Resist the temptation to skip the early stages because the image does not yet look impressive. A grey massing render looks unfinished by design, and approving it quickly to get to the pretty version is how camera problems survive to the end.

Common Brief Failures Worth Avoiding

  • Sending a folder with no covering note. Drawings without a brief force the studio to infer intent, and inference is where revision rounds come from.
  • Describing materials in adjectives. Supply references or product codes; words like warm, natural and premium describe nothing specific.
  • Leaving the aspect ratio unstated. Composition is set at the camera and cannot be recovered by cropping.
  • Not saying which drawing is current. The single most expensive omission available, because it is discovered late.
  • Commissioning views one at a time. Each is priced as though the model were new, discarding the main efficiency in rendering work.
  • No named approver. Four parties sending contradictory notes stalls a project more reliably than any technical problem.

How to Apply It

Write the purpose sentence first and let it govern the rest. Send source data with the governing revision clearly identified, and mark camera positions on a plan rather than describing them. Supply material references rather than adjectives, and say what has not been decided.

Choose the lighting deliberately, specify population density and demographics, and agree how the surroundings are handled. List deliverables with the resolution the largest use actually needs. Then name one approver, define the revision rounds, and settle model retention before work starts.
